    What is a KYC verification and when does it apply?

    1.) The KYC (Know Your Customer) process is part of European anti-money laundering regulation, known as AML, which requires institutions such as our payment provider MANGOPAY to make sure that money transacting through their system is clean. It will, therefore, be an integral part of your collaboration with us in case money needs to be transferred to another bank account (pay-out) as during a pay-in process.

    The whole verification process is automated thanks to a technical connection with our payment provider. This feature provides a global, compliant and trustful service.

    2.) KYC documents

    KYC documents must be submitted in one of the following languages:

    - French

    - English

    - German

    - Dutch

    - Spanish

    - Italian

    - Portuguese

    If a document is not available in one of the above languages, an official translation in French or English will be required. The legal team may ask for the official translation of a document if deemed necessary.

    Please find below the details for each required document.

    Document type:

    1.) „IDENTITY_PROOF"

    -> ID Card, Passport, Residence Permit, or Driving License for SEPA area. Passport or Driving License for the UK, USA and Canada. For other nationalities, a passport is required.

    In the case of a legal user, this document should refer to the individual duly empowered to act on behalf of the legal entity. ID card: Front AND Back (Valid) OR Passport (Valid)

    2.) „ARTICLES_OF_ASSOCIATION"

    -> Certified articles of association (Statute) - formal memorandum stated by the entrepreneurs, in which the following information is mentioned: business name, activity, registered address, shareholding…

    3.) “REGISTRATION_PROOF"

    -> Extract from the Company Register issued within the last three months

    In the case of an organization or sole-trader, this can be a proof of registration from the official authority

    4. „ADDRESS_PROOF"

    -> Proof of address. Confirmation of residence: Less than a year old. Can be: Residential Registration Form, Water/electricity/gas/telephone bill, Tax certificate, Householder insurance, Confirmation of real estate ownership

    Note: These documents can be refused for various reasons

    How to present myself on ArchExperts?

    A short description of yourself is very important to your potential client. It's like a visit card.

    Clients have limited time for the screening of placed bids and stored profiles and finally to pick the most suitable experts they want to work with.

    Often clients decide on the profile and not on price tag attached to a job who they want to work with.

    We highly recommend to write some words about yourself according to this template:

    • What's your name?
    • What's your profession?
    • What are you expert in?
    • What are your primary technical and what are your soft skills?

    and finally

    • How do you help clients to get their work done? 

    It could sound like:

    "Hello, my name is Joe. I am a passionate architect. I am experienced in the design and development of residential and commercial buildings for more than 8 years. My clients love my creativity and patience when it comes to achieving their goals."

     

    What happens when client doesn’t pay?

    Experts who have signed up with our platform we support to get paid according to their job performance that commonly is agreed upon in a milestone. We also support our clients in getting them the requested work.

    In case, you or one of your clients raises a dispute that can be created in your personal account after finishing a milestone,  we try to find a solution for both contractual parties.

    However, sometimes differences might be bigger than we are able to meditate.

     In this case, the client gets back the amounts paid in a project or milestone.

    If you want to pursue your case, we recommend consulting a privately hired lawyer that can help you to clarify the situation according to the civil law.

    Tip:

    Mistakes happen, but they can be fixed. Before adding a dispute make sure you tried everything to satisfy your client.  Start a communication always using our website. Try to understand your client, and offer a solution.

    Why you may be asked for your identification on ArchExperts

    For this reason, we have chosen MangoPay as a legitimate and regulated provider of payment services to process all payments made through our platform. MangoPay is a licensed electronic money institution regulated by the relevant financial supervisory authority.

    It securely holds and manages your money when you buy or sell on ArchExperts or use the ArchExperts Wallet, which is provided as a financial service by MangoPay.

    To ensure security and optimal protection, MangoPay may conduct the "Know Your Customer" (KYC) process and collect additional personal data from you. This is a legally required measure. What is KYC? The "Know Your Customer" (KYC) process is a procedure for identifying members of a platform. As a regulated electronic money institution, MangoPay is legally obligated to conduct this process to ensure that the provider's services meet the requirements for combating money laundering and terrorism financing. By conducting the KYC process, MangoPay ensures that payments on ArchExperts: Comply with legal requirements Meet payment security standards The purpose of the KYC process is to identify members and ensure that they act fairly and legally, avoiding involvement in fraudulent or illegal activities. We understand that sharing personal data can be inconvenient, but the KYC process plays an important role in ensuring security on ArchExperts. If you are a seller with an active ArchExperts Wallet, you may be required to undergo this process. We kindly ask for your understanding. Activating your ArchExperts Wallet Here's how the KYC process works: You may be asked for a copy or photo of a document to confirm your identity if: You have reached a sales limit (set by MangoPay) Your behavior is suspicious (e.g., if your provided bank details were recently entered by another person, etc.) The following personal documents are suitable for identification: Your ID card Your passport Your driver's license (or provisional driver's license) The document must be valid and clearly readable on both sides. If your document does not meet these requirements, we will contact you promptly. In rare cases, MangoPay may request additional information from you, such as proof of address or a bank statement. Important: We do not have access to the documents you provide, nor do we store them. All data is transmitted directly to MangoPay, who is responsible for secure processing. Once MangoPay has analyzed the documents you have submitted, you can resume selling on ArchExperts without any concerns. What happens if I don't provide the documents? If you fail to provide the required documents, MangoPay may instruct that you cannot withdraw your earnings to your bank account or use them for shopping. If you upload a suspicious or false identification document, we have no choice but to immediately and permanently suspend your account. Legal basis for confirming your identity The collection and processing of data for the purpose of conducting the "Know Your Customer" (KYC) process is carried out by MangoPay. This procedure is in compliance with the following legal obligations: Article 3(2)(a) of the applicable law on combating money laundering and terrorism financing. Article 16(1) and Article 18 of the corresponding regulation on combating money laundering and terrorism financing. To fulfill these requirements, ArchExperts has implemented MangoPay's API. This technical measure enables you to transmit a copy of your identification document to MangoPay without leaving the platform.

    How long does it take to receive a payout?

    MINIMUM PAY-OUT Amount:

    The payout minimum amount is €30 (or equivalent in other currencies).

    Cutoffs and processing times:

    Standard payouts are processed by our payment provider as quickly as possible. Some payouts are subject to manual review by for reasons of risk management or AML/CFT – these may take longer.

    Payouts created before the cutoff times outlined below are transferred to the user’s bank account within the corresponding processing times. Payouts created after the cutoff are processed next working day (Monday to Friday, excluding weekends and public holidays in the specific country).

    How to delete my account?

    You can delete your account under “User Settings/Delete Account”.

    If you’re caught by a speed camera

    Within 14 days of your car being caught speeding you’ll be sent a:

    • Notice of Intended Prosecution (NIP)
    • Section 172 notice

    You must return the Section 172 notice within 28 days, telling the police who was driving the car.
